Complete, accurate forms and music submitted on time give your wedding the preparation it deserves.
Why these deadlines matter.
My goal is to help your event run as smoothly as possible. Your completed forms and music choices give me time to review every detail, confirm important cues, find and verify your requested songs and versions, prepare the material needed for your event, and resolve anything missing before your celebration.
Late or incomplete submissions reduce preparation time and create avoidable last-minute issues. These deadlines protect the quality of your event and allow me to arrive fully prepared.
Before lockout
- Complete everything 28 days before your event.
- Save your planning forms, timeline, special songs, general music requests, do-not-play list, playlist links and music instructions in your planning portal by the deadline shown there. Check names, timings, song titles, artists, versions, links and any required files for accuracy. Guest suggestions close separately, 35 days before the event.
- Sending a message does not bypass lockout.
- Once planning locks, emailing, texting, sending WhatsApp or social-media messages, sharing a playlist, or forwarding music through a planner does not mean it will be added. New music requires the paid reopening process below.
If you miss the deadline
- One paid reopening, with a fixed end date.
- The reopening fee is USD 100. Payment must be received and verified before portal access is restored. The extension ends 21 days before your event, seven calendar days after your original planning deadline. Payment does not start a new seven-day period. Paying later leaves only the remaining time.
- Allow up to 24 hours for processing.
- Processing time does not extend the deadline. Submit all remaining forms and music in the reopened portal before the fixed deadline. No further extensions are granted. Planning cannot reopen during the final three weeks. Payments received after the extension deadline do not reopen planning and are not refunded.
After the final cutoff
- Music submissions are closed.
- No new songs, replacements, alternate versions, playlists, audio uploads or custom-edit requests will be accepted through any channel.
- Timeline changes only, by email.
- Email timeline changes to bookings@ruuben.wedding. A timeline change cannot be used to add or change music.
Mistakenly locked out before your deadline? Contact me to restore normal access at no charge. Your original deadline stays unchanged. This is an access correction, not a paid reopening or extension.
